Contafy provides powerful reporting tools to analyze your invoices, expenses, and cash flow. Generate visual reports, track trends, and make data-driven financial decisions.

Dashboard overview

The main dashboard (/dashboard) provides a high-level view of your financial activity.

Dashboard greeting

The dashboard greets you by name and displays the selected company (profile) or “Todas las empresas” if viewing all profiles.

Accessing the dashboard

Log in to Contafy

Navigate to /dashboard after logging in.

Select a profile (optional)

Use the profile selector in the header to:
  • View a specific RFC profile
  • Select “Todas las empresas” for aggregated data

Choose the time period

Select:
  • Mes: Month to analyze
  • Año: Year
  • Régimen fiscal: Filter by tax regime (if applicable)
The dashboard automatically loads data for the current month and year when you first visit.

Financial metrics cards

At the top of the dashboard, four metric cards display key financial indicators.

Total facturado (Total invoiced)

  • What it shows: Sum of all invoice subtotals for the selected period
  • Includes: PUE, PPD, and manual income entries
  • Excludes: Payment complements (REP)
Icon: Blue card with trending up arrow

Total de gastos (Total expenses)

  • What it shows: Sum of all expense subtotals for the selected period
  • Includes: XML expenses and manual expense entries
  • Excludes: Invalid or rejected expenses
Icon: Purple card with shopping cart

Diferencia (Difference/Net income)

  • What it shows: Total facturado minus Total de gastos
  • Color coding:
    • Green: Positive difference (profit)
    • Red: Negative difference (loss)
    • Gray: Zero difference
Icon: Trending up (profit) or trending down (loss)

Facturas pendientes de pago (Pending invoices)

  • What it shows: Number of unpaid PPD invoices
  • Includes: PPD invoices with no payment or partial payment
  • Excludes: PUE invoices (always considered paid)
Icon: Orange card with clock
Click on any metric card to navigate to the detailed invoices or expenses page with the same filters applied.

Flow trend chart

The flow trend chart visualizes income and expense trends over time.

Chart features

  • X-axis: Time period (months for yearly view, days for monthly view)
  • Y-axis: Amount in MXN
  • Two lines:
    • Blue line: Income (facturas)
    • Purple line: Expenses (gastos)
  • Interactive: Hover over data points to see exact values
  • Responsive: Adapts to screen size

Viewing options

Año actual (Current year)

Shows monthly income and expenses for the entire year:
  • January through December
  • Each data point represents the month’s total
  • Useful for annual trends and seasonality

Mes actual (Current month)

Shows daily income and expenses for the selected month:
  • Day 1 through last day of month
  • Each data point represents a single day
  • Useful for detailed cash flow analysis

Switch between views

Use the toggle buttons above the chart:
  • Click “Año actual” for yearly view
  • Click “Mes actual” for monthly view
The chart automatically updates when you change the profile, month, year, or régimen fiscal filters.

Recent invoices table

The dashboard displays the 3 most recent invoices.

Table information

  • UUID: Invoice unique identifier
  • Fecha: Invoice date
  • Emisor: Your business name
  • Receptor: Client name and RFC
  • Total: Invoice total amount
  • Estado: Payment status (Pagado, No Pagado, Pago Parcial)

Viewing all invoices

Click “Ver todas las facturas” to navigate to the full invoices list with detailed filtering and search.

Recent expenses table

The dashboard shows the 3 most recent expenses.

Table information

  • UUID: Expense unique identifier
  • Fecha: Expense date
  • Emisor: Vendor/supplier name
  • Total: Expense amount
  • Categoría: Expense category badge (if assigned)

Viewing all expenses

Click “Ver todos los gastos” to access the complete expenses list.

Detailed invoice reports

The invoices page (/dashboard/invoices) provides comprehensive reporting for income.

Invoice summary cards

At the top of the invoices page:

Total de facturas (Invoice count)

Number of invoices in the current filtered view.

Facturas pendientes de pago

Count of unpaid or partially paid PPD invoices.

Total facturado

Sum of all invoice subtotals (excluding payment complements).

Invoice breakdown

The table shows detailed information for each invoice:
  • UUID / FOLIO: Unique identifier
  • FECHA: Invoice date and time
  • EMISOR: Your business name and RFC
  • RECEPTOR: Client name and RFC
  • MONTO: Subtotal amount
  • IVA TRASL.: IVA charged to client
  • RET. IVA: IVA retention
  • RET. ISR: ISR retention
  • ESTADO: Validation and payment status
  • ACCIONES: Delete button

Manual income section

Below the summary cards, a separate section displays manual income entries (income without CFDI):
  • Concepto: Description
  • Fecha: Income date
  • Subtotal: Amount before tax
  • IVA: Tax amount
  • Total: Final amount
  • Cobrado: Payment status (Sí/No)
  • Acciones: Edit and delete buttons
Manual income entries are displayed separately from CFDI invoices for clarity. They contribute to financial metrics but don’t have UUIDs.

Detailed expense reports

The expenses page (/dashboard/expenses) offers comprehensive expense reporting.

Expense summary cards

Total de gastos (Expense count)

Number of expenses in the current view.

Total gastado

Sum of all expense subtotals.

Categoría breakdown

If you’ve assigned categories, a pie chart or breakdown shows spending by category:
  • Viáticos
  • Oficina
  • Servicios
  • Transporte
  • Alimentación

Expense breakdown table

Detailed expense information:
  • UUID / FOLIO: Identifier (or “Manual”)
  • FECHA: Expense date
  • EMISOR: Vendor name and RFC
  • RECEPTOR: Your business name and RFC
  • MONTO: Subtotal
  • IVA TRASL.: IVA charged
  • CATEGORÍA: Category badge
  • ORIGEN: XML or Manual
  • ESTADO: Validation status
  • ACCIONES: Edit (manual) or delete

Combined financial report

For a complete financial picture, generate a combined report showing both income and expenses.

Accessing the combined report

Navigate to the dashboard

Go to /dashboard and select your desired filters (profile, month, year, régimen).

Click 'Exportar PDF'

In the top right of the dashboard, click the “Exportar PDF” button.

Wait for generation

The system generates a PDF report including:
  • Header with your business information
  • Financial metrics summary
  • Income breakdown (facturas pagadas y pendientes)
  • Expense breakdown
  • Net income calculation

Download the PDF

The PDF automatically downloads to your device.
PDF export is a premium feature available on PROFESSIONAL and ENTERPRISE plans. FREE and STARTER plans show an upgrade prompt.

Report preview

Before exporting, you can preview the report:
  1. Click “Vista previa” instead of “Exportar PDF”
  2. A new page opens showing the formatted report
  3. Review the data for accuracy
  4. Click “Exportar PDF” to download or “Volver” to go back

Report filtering and customization

By profile

Generate reports for:
  • A specific RFC: Select the profile from the dropdown
  • All profiles: Choose “Todos” to aggregate data across all your businesses

By time period

Customize the report period:
  • Monthly reports: Select month and year
  • Yearly reports: Use the year selector and view annual trends
  • Custom periods: Combine filters for specific date ranges

By régimen fiscal

If your profile has multiple tax regimes:
  1. Select the profile
  2. Choose the régimen fiscal from the dropdown
  3. Only invoices/expenses matching that régimen are included
Generate separate reports for each régimen fiscal to simplify tax filing and accounting.

Understanding payment status

Invoice and expense reports show payment status for better cash flow tracking.

Invoice payment statuses

Payment tracking

For PPD invoices:
  • Upload REP (payment complement) XML files
  • System automatically links REP to original invoice
  • Payment status updates in real-time
  • Progress is calculated based on paid amount / total
PUE invoices are always marked as “Pagado” since they represent single-payment transactions.

Trial banner

If you’re on a trial subscription, a banner appears at the top of the dashboard:
  • Days remaining: Shows how many trial days are left
  • Upgrade prompt: Suggests upgrading to a paid plan
  • Feature highlights: Lists premium features available after upgrade

Best practices

Regular review

  • Check the dashboard weekly to monitor cash flow
  • Review pending invoices and follow up with clients
  • Compare monthly trends to identify patterns

Accurate categorization

  • Assign categories to manual expenses
  • Use consistent naming for expense concepts
  • Categorization improves report accuracy

Export reports monthly

  • Generate PDF reports at month-end
  • Share with your accountant
  • Keep copies for your records

Monitor metrics

  • Track the Diferencia (net income) metric
  • Watch for increasing pending invoices
  • Compare year-over-year growth

Troubleshooting

”No hay datos para mostrar”

No data exists for the selected filters. Solutions:
  1. Expand the date range
  2. Select “Todos” for profile
  3. Remove régimen fiscal filter
  4. Upload invoices or expenses first

Chart not loading

The flow trend chart requires JavaScript. Ensure:
  1. JavaScript is enabled in your browser
  2. No ad blockers are interfering
  3. Your browser is up to date

Metrics seem incorrect

If numbers don’t match expectations:
  1. Verify the selected filters (profile, month, year)
  2. Check if all invoices/expenses uploaded successfully
  3. Review validation errors on uploaded files
  4. Clear filters and reapply
